A year of past minutes typically becomes searchable in minutes. Unlimited historical import is included on Pro and Portfolio.

No. Board members you invite never pay anything. When you invite a member to your board, they get a free account and can view meetings, action items, insights, and everything else — all covered under your subscription. You only pay for the boards you own.

Each board can have a limited number of invited members depending on your plan: Free (5), Solo (25), Pro & Portfolio (50). Enterprise plans include unlimited board members. Board members are people you invite to collaborate — they don't need their own subscription.

Invited members who accept your invite get read access to all meetings, minutes, action items, insights, topics, and reports for the boards they're on. They can also mark their own action items complete. Only the board owner can create meetings, manage settings, or invite/remove members.

From your board settings, add a member's name and email. They receive an invite email with a secure link. Once they accept, their account is linked and they immediately see the board's full history. You can track invite status (pending, accepted, expired) from the member list.

On the Free plan, you can create unlimited meetings but generate minutes for up to 2 per month. Upgrade anytime for unlimited generation. All paid plans are fully unlimited.

Yes. Upgrade or downgrade anytime. Changes take effect at the start of your next billing cycle. If you upgrade mid-cycle, we'll prorate the difference.

The Free tier is permanent — stay on it as long as you like. You get 2 generated meetings/month, 1 board, and up to 5 board members. You can create unlimited meetings and add notes anytime — the limit is only on generation. Perfect for small organizations or testing before committing to a paid plan.

All paid plans include truly unlimited meetings — there is no cap on how many meetings you can create, how many sets of minutes you can generate, or how much text you can paste. The only metered resource is AI audio transcription (converting a recording to text), which has generous monthly limits included in each plan. If you use external tools like Zoom, Otter.ai, or Google Meet for transcription and paste the text in, there are zero limits.

You can either upload a recording file (MP3, M4A, MP4, WAV, etc.) or record your meeting directly in MinuteSmith. Our AI transcription converts the audio to text with speaker identification, then you generate formatted minutes from the transcript. Each plan includes monthly transcription minutes: Solo (270 min), Pro (900 min), Portfolio (2,700 min). Your recording is always saved securely, even if you reach your monthly limit.

Your recording is never lost. If you reach your monthly limit mid-recording, the audio is saved securely and you can upgrade your plan to transcribe it. You can also paste a transcript from any external tool (Zoom, Otter.ai, Google Meet) at any time with no limit — only audio-to-text transcription is metered. Allowances reset on the 1st of each month.

Either works. MinuteSmith accepts notes in any format: typed notes, pasted bullet points, .vtt/.srt transcript files from Zoom or Otter.ai, or our built-in audio recording and transcription. Text input and transcript file uploads are always free and unlimited. Our built-in transcription is a convenience so you don't need a separate tool.

MinuteSmith extracts topics directly from your approved minutes — not from generic categories. Every topic listed links back to the exact meeting where it was discussed, with the actual text from that agenda section as a citation. Topics evolve dynamically as your archive accumulates history.
